That small regional difference matters when you print worksheets, forms, lined pages, graph paper, planner inserts, or any file where spacing has to stay exact. A4 is slightly narrower and taller than Letter. If software silently scales one size onto the other, a 5 mm grid, ruled line, margin box, or cut mark will no longer measure what the page promises.

What A4 is used for

A4 vs Letter

A4 and Letter look close in a thumbnail, but they are not interchangeable.

The difference is small enough to be missed in a preview and large enough to create real print problems. Letter is about 0.23 in wider than A4. A4 is about 0.69 in taller than Letter. That means a Letter worksheet sent to an A4 printer may gain vertical room but lose width, while an A4 worksheet sent to a Letter printer may clip at the bottom or shrink to fit.

Choose A4 when the person printing is in an ISO-paper region, when your school or office uses A4 trays, or when the template was designed around metric spacing. Choose Letter when the printer is in North America or when a binder, folder, or filing system expects 8.5 x 11 in sheets.

For mixed audiences, publish both versions. A file named worksheet-a4.pdf and a file named worksheet-letter.pdf prevents more support issues than a note that says "scale as needed."

Why inches are rounded

The ISO A4 definition is metric: 210 x 297 mm. Inches are a conversion:

Most product pages round that to 8.27 x 11.69 in. That rounded form is fine for titles, classroom explanations, and quick comparisons. It is not the best value to type into a design file if the software accepts millimeters.

When building a printable template, set the document to A4 / 210 x 297 mm. Then define margins, grid pitch, and line spacing inside that page. If you design in rounded inches first, small rounding differences can show up as uneven borders or off-center grids after export.

Print settings that preserve A4 size

Use this checklist before printing an A4 PDF:

Load A4 paper in the tray.
Confirm the printer driver shows A4 as the media size.
Open the PDF print dialog and choose Actual size or 100%.
Turn off Fit, Shrink oversized pages, or Scale to printable area for measured templates.
Print one test page and measure a known distance, such as a 5 mm grid square.

Printer dialogs vary, but the principle is consistent: the document size, tray size, and scaling option all have to agree. If any one of them changes silently, the printed result can be smaller, clipped, or shifted.

Adobe Acrobat, browser print dialogs, Google Docs, Word, and printer drivers can each have their own page-size setting. When a PDF keeps printing incorrectly, check all layers instead of only the final button.

When printing A4 on Letter is risky

Printing A4 on Letter paper usually forces a decision: clip the page, shrink it, or center it with uneven margins. None of those are ideal for measured printables.

Scaling may be acceptable for:

Draft reading copies
Plain text handouts
Internal review pages
Documents where the exact line spacing does not matter

Scaling is risky for:

Graph paper and dot grid paper
Lined or handwriting practice sheets
Labels, boxes, and forms
Cut-and-fold craft templates
Music staff paper
Engineering or design layouts

If you only need to read the page, "fit to paper" can be a practical fallback. If you need to write, measure, cut, or align anything on the page, use the correct paper size or download the matching Letter version.

Margins and printable area

A4 describes the sheet, not the printable area. Many printers cannot mark ink all the way to the edge. A PDF can be A4 and still need safe margins inside the page.

For general templates, keep important content at least 5 mm from the paper edge unless your printer supports borderless output and the template is designed for it. For office handouts, 10 to 15 mm margins are safer because they survive more printers, stapling, hole punching, and copier variation.

For ruled or graph paper, align the visible pattern with the intended use:

Use wider top or left margins if the page will be placed in a binder.
Keep a consistent outer margin if the page will be copied many times.
Avoid putting key instructions at the extreme bottom, where A4 to Letter scaling often clips first.
Print at 100% before trusting the page for classroom sets or client files.

A4 in design software

Most design tools can create A4 documents directly. The important step is to set the page size before placing content.

In word processors, open page setup and choose A4 before writing long content. Changing a finished document from Letter to A4 can reflow tables, footers, page numbers, and image captions.

In design tools, create the artboard or canvas as 210 x 297 mm. If you need bleed, add it separately according to the printer's requirements. Do not call the trimmed A4 page "A4 plus bleed" unless the exported PDF clearly distinguishes trim size and bleed size.

In PDF viewers, inspect document properties if a file behaves strangely. The file may look like A4 but actually contain a Letter page box, or vice versa.

The fix is not complicated: set the page size first, then design and print at actual size. The hard part is catching the quiet defaults before they turn into a poor print.
